Give your teammates the documents they need to do your work well — your brand voice, price lists, service descriptions, customer notes — and decide which teammate can read which folder.
Why it makes teammates better
Section titled “Why it makes teammates better”A teammate who has read your “How we talk to customers” note will write emails that sound like you. One who has your price list will quote the right numbers. Think of business knowledge as the onboarding binder you’d hand a new hire on day one — except your digital employees actually read all of it, every time they work.
Upload a document
Section titled “Upload a document”Open Business Knowledge
In the side menu, open Knowledge, then Business Knowledge. You’ll see your folders listed as a tree — click a folder name to expand it and see what’s inside.
Add a folder (or pick an existing one)
Click Add folder at the top to start a new drawer — for example company or customers. To add a sub-folder, use the ⋮ menu on any folder and choose Add subfolder.
Upload your file
Open the ⋮ menu on the folder and choose Upload, then pick a file. You can upload Word, PDF, Excel, PowerPoint, Markdown, CSV, or plain text — up to 10 MB each, one file at a time.
Control who can read each folder
Section titled “Control who can read each folder”Each folder has its own reading list. By default, a folder is read by the people and teammates you grant it to — so you decide exactly who sees your customer notes versus your public brand guide.
Open Manage access
On a folder that holds documents, open the ⋮ menu and choose Manage access.
Pick who can read it
Choose the departments (like Finance or Marketing) and the individual teammates that should be able to read this folder, then save. A teammate only ever sees the folders you’ve granted them.
You edit, teammates read
Section titled “You edit, teammates read”This is a one-way street, on purpose:

Add, replace, and delete documents. You curate what your teammates know.
Your teammates
Read only. They use your documents to do better work, but they never edit them — so your library stays exactly as you left it.
When a teammate bases a decision on one of your documents, it will point back to the file it used, so you can see why it did what it did.
Your documents stay private
Section titled “Your documents stay private”Uploading a file is just storing it for your own teammates to read. It is not a send, and it doesn’t connect to anything outside.
No card. No connecting your email. Nothing gets sent without your OK.
Ask before sending is ON — so even when a teammate uses your knowledge to draft an email or a quote, nothing goes out until you give the final OK.
What if it isn’t working?
Section titled “What if it isn’t working?”If an upload won’t go through, walk these in order:
- “File too large.” The limit is 10 MB per file. Trim or split a big PDF, or remove heavy images.
- “Unsupported file type.” Use a document or text file (PDF, Word, Excel, PowerPoint, Markdown, CSV, JSON, or plain text). Photos, videos, and zip archives aren’t accepted.
- You don’t see Add folder or the ⋮ menu. You may have view-only access — a “View only” label shows at the top. Ask whoever set up your company to give you edit rights.
- A teammate “can’t find” a document you uploaded. Check Manage access on that folder — the teammate probably isn’t on its reading list yet.
- The file uploaded but looks empty when opened. Re-upload it; a network hiccup can cut a file short. Picking the same file again replaces it.

What kinds of files can I upload?
Documents and text files: PDF, Word, Excel, PowerPoint, Markdown, CSV, JSON, and plain text. Each can be up to 10 MB. Images, audio, video, and archives aren’t supported here.
Can my teammates change my documents?
No. Teammates can only read your business knowledge. Adding, replacing, and deleting is done by you and your team — never by a teammate.
Will a teammate see every folder?
Only the folders you grant them. Use Manage access on each folder to choose the departments and teammates who can read it.
Is anything sent or shared when I upload?
No. Uploading only stores the file for your own teammates to read. No card, no connecting your email, and nothing gets sent without your OK.
How do I replace a document with a newer version?
Upload a file with the same name into the same folder — it replaces the old one. You can also open a file in the list and use the replace action.
