Approvals (Needs attention)
When a teammate is ready to send an email, post, message, or booking — or needs a decision from you — it waits in Needs attention until you give the OK. This page shows you how to clear that queue with confidence.
Where approvals live
Section titled “Where approvals live”Everything waiting on you sits in one queue called Needs attention (À traiter), reached from the left sidebar. The number on it is everything that needs a decision right now — both messages waiting to be sent and decisions your teammates have raised.
The queue has up to two parts:
- Decisions waiting — choices your teammates raised, like welcoming a new teammate, a budget change, or a strategy sign-off. Each shows what it is and who asked. You decide with Approve or Reject.
- Board actions required — bigger items flagged on the work itself. Click one to open the full task and read the details before you decide.
Review a pending send
Section titled “Review a pending send”A teammate has drafted an email, social post, message, or booking and it’s queued for your OK. Here’s how to clear it.
Open Needs attention
Click Needs attention in the sidebar. Each waiting item shows what it is and who raised it.
Read what's waiting
Open the item to see the full message or decision — exactly what would go out, to whom. Take your time; nothing happens while you read.
Approve, edit, or reject
- Approve — you’re happy with it. The teammate sends it.
- Edit, then approve — want a wording tweak first? Ask the teammate in Chat (Conversation) to revise it, then approve the new version.
- Reject — not right. The send is held and the teammate is told, so they can rethink it.
Approving work vs. approving a send
Section titled “Approving work vs. approving a send”Two different things land here, and it helps to tell them apart.
A decision
A choice your teammates raised — a new teammate, a budget change, a strategy sign-off. You decide it right in the queue with Approve or Reject.
An outbound send
A ready-to-go email, post, message, or booking. You read the full draft, then Approve to send it or Reject to hold it.
Either way, the rule is the same: you give the final OK, and nothing leaves your workspace without it.
The trust promise
Section titled “The trust promise”This is the page where it matters most, so we’ll say it plainly:
No card. No connecting your email. Nothing gets sent without your OK.
Ask before sending — ON is the default for everyone. Your teammates also check each other’s work before calling it done, so what reaches you for approval has already been looked over once. For the bigger picture of how this keeps you in control, see Trust and safety.
Good to know — letting routine sends go out on their own
Section titled “Good to know — letting routine sends go out on their own”Once you’ve approved the same kind of message a few times and you trust a teammate with it, you can save a rule so similar sends go out automatically — for example, every routine LinkedIn post.
What if it isn’t working?
Section titled “What if it isn’t working?”If something you expected isn’t in the queue, or a decision won’t go through, check these in order:
- Is there anything to approve? All caught up means nothing is waiting — your teammates haven’t queued a send or a decision yet.
- Give it a moment. A brand-new draft can take a short while to appear after you ask for it.
- Refresh the page. A stale page can hide an item that already arrived (or one you just cleared).
- Did a rule already approve it? If you’ve turned on an auto-approve rule, matching sends won’t appear here — they go out on their own. Check your rules in Settings.
- Couldn’t approve or reject? Some decisions can only be made by a workspace admin. If you see a “you don’t have permission” message, ask whoever runs your workspace to decide it.

Will my teammate send something before I see it?
No. Ask before sending is ON by default, so every email, post, message, and booking waits in Needs attention for your OK. Nothing goes out until you approve it.
What happens when I reject something?
The send is held — it does not go out. Your teammate is told it was rejected so they can rethink it or try a different version. Nothing is sent, and nothing is lost.
Can I change the message before it sends?
Yes. Ask the teammate in Chat to revise the wording, then approve the new version. You’re always approving the exact message that will go out.
Why is the queue empty?
All caught up means nothing needs your decision right now — that’s the normal, healthy state. Your teammates will add to the queue when they have a send or a decision waiting on you.
Should I set up auto-approve rules?
Only if you’re comfortable, and only for routine, low-risk sends you’ve approved many times. Rules start switched off, you can preview them first, and you can cap how much they approve. Beginners are better off approving by hand.
Why can't I approve a particular decision?
A few decisions can only be made by a workspace admin. If you can’t approve one, ask the person who runs your workspace — they’ll have the option.
